We are hiring experienced and proactive Executive Assistants based in Latin America (LATAM) to support senior leaders in dynamic organizations. This is a full-time, remote role where you’ll serve as the right hand to senior leadership, managing calendars, travel, communications, and projects so executives can stay focused on driving impact.

Key Responsibilities
Calendar & Meeting Management
- Manage complex executive calendars across multiple time zones, aligning priorities with organizational goals.
- Schedule, confirm, and adjust meetings proactively, resolving conflicts before they arise.
- Prepare agendas, share materials in advance, and ensure participants are briefed.
- Anticipate changes due to travel or shifting priorities, rescheduling or converting to calls when needed.
- Provide executives with daily and weekly calendar briefings to maximize focus.
- Track deadlines, recurring meetings, and project milestones.
- Capture notes and coordinate follow-up actions to ensure accountability.
Travel Coordination
- Arrange domestic and international travel (flights, hotels, ground transportation).
- Anticipate conflicts between travel and meetings, adjusting accordingly.
- Ensure itineraries are efficient, cost-effective, and aligned with company policies.
Expense & Budget Support
- Process, reconcile, and track expenses for accuracy and timely submission.
- Support budget oversight and help maintain financial records.
- Coordinate with vendors and contractors for invoices and payments.
Communication & Liaison
- Serve as the first point of contact for executives, managing email inboxes and correspondence.
- Ensure timely responses and maintain clear, professional communication.
- Handle sensitive information with discretion and confidentiality.
Project & Ad Hoc Support
- Assist with special projects, light research, presentations, and reporting.
- Provide support in content coordination (social media scheduling, CRM upkeep, donor or client touchpoints, community engagement).
- Coordinate events, team activities, or meetings during executive travel.
- Jump in on ad-hoc operational tasks to ensure smooth business flow.
Desired Traits & Qualifications
- Must be based in Latin America (LATAM) and able to work aligned with U.S. business hours.
- 3+ years of experience as an Executive Assistant, Virtual Assistant, or similar support role.
- Exceptional organizational, written, and verbal communication skills.
- Advanced English proficiency (C1-C2).
- Proficiency with Google Workspace, Microsoft 365, and project management tools (e.g., Asana, Trello).
- Tech-savvy with collaboration platforms, CRMs, and virtual communication tools.
- Highly proactive, adaptable, and detail-focused—able to anticipate needs and thrive without constant supervision.
