Decision MakingSpreadsheet AnalysisOperations Management

Requirements

  • 5+ years of work experience, at least 2 of them owning outcomes rather than tasks.
  • Strong written English (C1+) and comfortable spoken English on a live call. You can write to an investor, a customer, and a vendor without sending the same email three times.
  • You can turn a messy topic into a short document: situation, options, recommendation, next actions.
  • You work comfortably in spreadsheets and can sanity-check costs and tradeoffs.
  • You decide without full information, and you say so when you got it wrong.
  • Discretion, because you will see everything, including what is not going well.
  • Available 9am to 5pm US Pacific, Monday to Friday. I can flex the start to 8am if that suits your day better.
  • Reliable internet with a backup plan, quality camera and headset, quiet workspace.
  • Modern laptop with 24GB+ RAM.

This is probably not for you if

  • You need tasks specified before you can start.
  • You are looking for a strategy or advisory role.
  • You would rather coordinate work than do it.
  • You wait for approval on reversible decisions.
  • You need your responsibilities to stay inside a defined box.
  • You think AI output is finished work.

On AI
We are a slop-free startup.
AI makes output cheap, it has not made reviewing that output any cheaper. Handing us unfiltered, unreviewed, verbose AI output moves your work onto someone else’s desk. That will get you fired.
Use AI constantly, to take on more than one person could. Read everything before it leaves your hands.

What You'll Own

  • Projects that do not belong to anyone yet, from framing through delivery.
  • Hiring: sourcing, screening, scheduling, and keeping the pipeline honest.
  • Contractors and artists, including scope, delivery dates, invoices, and follow-through.
  • The operating cadence: what is tracked, what is overdue, what stopped moving without anyone noticing.
  • Systems and SOPs for work that currently lives in my head.
  • Investor outreach support: build the list, help send the emails, get the calls on the calendar.
  • Whatever is on fire this month that nobody else can pick up.
Some of this is unglamorous. Calendar, inbox triage, and travel come with being the founder’s right hand. It is a small slice of the job, not the point of it, but if that part is beneath you then this is not your role.

What success looks like:

First 90 days. You have mapped what is in flight and what has stalled. I have stopped chasing status. You have taken at least two initiatives off me end to end.
Ongoing. You bring me decisions with a recommendation attached rather than problems. Fewer things need me personally each month.

Backgrounds that tend to work

  • Former founder, or agency owner and operator.
  • Early employee at a startup where everyone did everything.
  • Someone who has already been a founder’s right hand.
  • Managed complicated client projects end to end.
  • Built an operations function from nothing.
Your title matters much less to me than what you actually owned. If you have made payroll, chased an unpaid invoice, or sat across from an angry client, say so.

Benefits

Paid in USD, monthly. Fully remote. PTO: 12 days accrued at 1 day per month, increasing to 15 at year 1. Direct access to the founder, with no agency layer in between. GSuite, Notion, Slack, Attio, Monday.com, Loom, GitHub, and whatever AI tooling makes you fastest.
Operations ManagementCRM AdministrationProcess Documentation

WHAT WE’RE LOOKING FOR

Must have:

  • 5+ years running operations in a professional services, advisory, private equity, or law firm environment
  • Chief of staff, director of operations, practice manager, or business manager
  • Direct experience running an operating cadence (EOS/Traction, 4DX, OKRs, or a homegrown equivalent).
  • Documentation and process discipline
  • Working command of a deal or relationship CRM and comfort administering data standards
  • U.S. Eastern time or a good portion of your hours aligned with our working time zone.

Helpful, not required:

  • Law firm or legal services operations background
  • Exposure to M&A transaction process, deal desk, or contract administration
  • Experience inside a partner-led business

WHO THIS ROLE ISN’T FOR

  • If you want to redesign the operating system rather than run it week after week, you will be bored here.
  • If you disengage when people don’t comply and let the system do the confronting for you, this role will fail.
  • If the appeal is a path into origination or deal execution, that is not on offer.
  • If a job whose central function is enforcing consistency sounds tedious to you, trust that instinct.

WHAT YOU’LL OWN

  1. The operating cadence. - Leadership and department meetings ran, held, and recorded. Agendas distributed, scorecards fully populated before and every assigned task and priority tied to a company initiative and quarterly goal.
  2. Pipeline operations integrity. - CRM hygiene and stage velocity as a managed system: a current interaction logged on every active deal, stage violations surfaced automatically, and stale inventory driven down.
  3. Team coordination and capacity protection. - Task closure tracked and enforced. Capacity limits are accessed and honored. No critical function left with a single point of failure and no backup. We’re building to scale and you’ll be responsible for redundancy implementation.
  4. Leadership optimization - Every new “yes” logged alongside the “no” it displaces. Priority changes announced in the room and rather than absorbed quietly. A monthly compliance report that lands on the founders’ desks without anyone asking for it.
Business DevelopmentSales ClosingPipeline Management

Qualifications

  • 3+ years of partnerships, business development, or sales experience with proven closing track record
  • Experience structuring and negotiating affiliate, referral, or sponsorship agreements
  • Strong discovery and qualification skills to identify best partnership fit
  • Excellent communication and presentation abilities with executive-level contacts
  • Strategic thinking to match prospect profile with optimal partnership type
  • Persistent follow-through to move deals from conversation to signed agreement
  • Understanding of partnership economics, commission structures, and incentive design
  • CRM proficiency and organized pipeline management

Responsibilities

Meetings & Discovery – Conduct discovery calls from the outreach team to learn prospects’ businesses, goals, and fit.

Opportunity & Partner Path – Rapidly determine the best partnership route (affiliate, sponsor, referral, collaboration, or direct customer).

Proposal & Negotiation – Draft custom partnership or sales proposals, handle objections, negotiate terms, and close agreements.

Relationship & Follow‑Up – Maintain post‑meeting relationships, lead prospects through decision‑making, and persistently follow up until an agreement, sale, or disqualification.

BillingAccounts PayableSpreadsheet Analysis

Required experience

  • Advanced written and spoken English. You will communicate daily with US-based builders, vendors, and colleagues, and be clearly understood on a call.
  • Fluent Spanish, for working with our field crews.
  • Experience in an administrative, operations, billing, bookkeeping, or coordination role.
  • Demonstrated ability to manage recurring deadlines without reminders.
  • Working proficiency with spreadsheets: filtering, sorting, pivot tables, basic formulas.
  • Ability to learn new software quickly and work primarily in digital systems.
  • Proven ability to work independently in a remote role.
  • A reliable computer, stable high-speed internet, and a quiet space for calls.
Ideal candidate
  • You create order. You notice what is missing and close the gap without being asked.
  • You take ownership of something and keep it until it is resolved or formally handed off.
  • You stay organized when the week does not go as planned, because our season is unpredictable.
  • You can tell a crew lead something needs to be corrected, or ask a builder for an update, and keep the relationship strong doing it.
  • You write things down so the next person can follow them.
  • Most importantly, you want to learn this business thoroughly, not just process tasks inside it.

Phase 1 - Own the fundamentals

Project quality review
Check projects against quality standards. Record incomplete work, missing documentation, and deviations in our project system. Notify responsible parties the same day and track issues to closure.

Customer and builder billing
Maintain records, confirm invoice receipt and approval status, and follow up on balances and payment dates, mainly by email with occasional calls. Escalate concerns to the Director of Operations. Use a service-first tone, not pressure.

Vendor invoices and payables
Check invoices against orders, deliveries, and pricing. Route for approval, process approved invoices, resolve vendor discrepancies, and keep audit-ready records.

Weekly reporting
Deliver accurate, timely reports on work orders, completion, billing, and open balances. Maintain weekly consistency and highlight patterns.

Crew and field coordination
Coordinate schedules, sequencing, and daily logistics. Confirm crews have information, materials, and documentation before starting. Communicate schedule, weather, and scope changes promptly. Be a reliable field contact during working hours. Much of this communication is in Spanish.

As needed
Support licensing and permitting; document and improve processes.

Phase 2: Grow into ownership
Master the fundamentals, then train as full backup to the Project Coordinator. Progress toward independent ownership of scheduling, material procurement, warranties, builder communication, and job execution. The goal is to master the operation, not remain an assistant. Growth depends on your progress.

Success milestones
30 days: Know systems and workflows, deliver accurate reports on time, and keep billing records current.
60 days: Handle vendor invoices, billing follow-up, and quality reviews independently; build crew relationships.
90 days: Cover the Project Coordinator's core duties without supervision and propose one concrete improvement to a process you own.

Preferred

  • Experience supporting a US-based company
  • Background in construction, homebuilding, specialty trades, home services, field-service operations, real estate, or logistics
  • Familiarity with CRM, project management, or accounting software
  • Exposure to permitting, licensing, or estimating
If you meet most of the requirements on the list, apply. We would rather hire someone sharp, reliable, and motivated with fewer years of experience than someone who checks every box and waits to be told what to do.

Qualifications and requirements

- 3+ years of hands-on experience in RevOps, GTM operations, sales operations, marketing operations, or a closely related role.
- Experience supporting more than one B2B client, campaign, or technology stack.
- Strong HubSpot experience plus at least two related systems such as Clay, Instantly, Salesforce, Apollo, ZoomInfo, Zapier, Make, n8n, Airtable, or similar tools.
- Working knowledge of CRM structure, enrichment, outbound execution, automation, sales handoffs, deliverability, and reporting.
- Real experience using ChatGPT, Claude, or another LLM in business workflows—not just occasional prompting.
- Comfortable with structured outputs, validation, privacy, failure handling, and human review.
- Comfortable with APIs, webhooks, JSON, imports and exports, and field mapping. You do not need to be a full-time developer.
- Strong spoken and written English and experience working with US B2B teams or clients.
- At least five working hours overlapping 9:00 a.m.–5:00 p.m. US Mountain Time.
- Exacting and thorough: you check assumptions, test edge cases, and verify downstream results.
This is probably not the right role if most of your experience is limited to one platform or if you prefer strategy and coordination over hands-on execution.

Job functions

You will own the day-to-day RevOps and GTM execution across several client engagements.
- Build and maintain CRM properties, workflows, lists, enrichment, sequences, routing, handoffs, tracking, and integrations.
- Work directly in HubSpot, Clay, Instantly, spreadsheets, AI tools, and related platforms.
- Monitor counts, mappings, lifecycle stages, duplicates, sync failures, attribution, and deliverability. When something is wrong, trace it to the source and verify the fix.
- Turn approved GTM plans into practical workflows, timelines, and quality checks.
- Keep sales reps equipped with accurate data, useful playbooks, and clean handoffs.
- Maintain reporting on activity, meetings, pipeline, conversion, and campaign health.
- Keep playbooks, process notes, and change records current.
- Build and improve LLM workflows for research, enrichment, personalization, analysis, and documentation. Test structured outputs, edge cases, fallback paths, privacy, and human-review steps.
We care less about whether a tool says it ran than whether the result is right. You should verify work in the destination system, reconcile counts, and document important changes.
In the first 30 days, you will learn our active programs, document their current state, identify risks, and take over recurring work. By 60 days, you should be independently running day-to-day execution across clients and catching problems before they reach the client.

Desirable skills

Helpful but not required: experience with deliverability tools, data enrichment providers, reusable AI-assisted processes, evaluations, quality-control systems, or light scripting.

Conditions

Fully remote.

We’re open to an employee or contractor arrangement, depending on your location and the right fit.

Full time, approximately 40 hours per week, with at least five working hours overlapping 9:00 a.m.–5:00 p.m. US Mountain Time.

Monthly compensation of USD $5,000–$6,000, depending on experience and demonstrated technical depth.

Account Strategy provides the commercial direction; you own reliable day-to-day execution and can recommend better approaches.

A cover letter is not required. Answer the application questions with brief, specific examples of work you completed personally. You may use AI to organize your answers, but be ready to discuss your examples in detail.

Position Summary

As a Senior Product Manager for Delinea Platform Shared Services, you will play a pivotal role in defining and executing the strategic vision for the foundational services that power every product on the Delinea Platform. You will own the platform's shared services portfolio — including the policy service, workflow orchestration and approval services, inbox, and notifications — capabilities that every product team builds on and every customer touches daily. The ideal candidate possesses a deep understanding of platform product management, workflow and policy-driven systems, and has a proven track record of successfully launching and scaling shared services in a multi-tenant SaaS environment.

Key Responsibilities

  • Develop and communicate a compelling vision and strategy for the platform's shared services — policy, workflow (including the approval service), inbox, and notifications — aligning it with overall company goals.

  • Collaborate with customers as well as external and internal stakeholders to understand end-user needs and validate product requirements for policy authoring, approval workflows, and notification experiences.

  • Collaborate with internal business unit product teams: gather their requirements, understand their roadmaps, and design shared services that are easy to adopt, extend, and build upon.

  • Drive the development of a robust, flexible policy framework that enables consistent, auditable policy definition and enforcement across the platform.

  • Own the workflow and approval service roadmap, delivering orchestration capabilities that support complex, multi-step approval chains, delegation, escalation, and audit requirements.

  • Define and evolve the platform inbox and notification services to deliver timely, actionable, and well-governed communications across channels, with sensible defaults and user-level control.

  • Champion API-first, self-service design, and establish adoption metrics to measure success.

  • Stay up to date on industry trends and emerging technologies — including policy-as-code, workflow orchestration patterns, and event-driven architectures — to inform the product roadmap.

  • Work closely with engineering, design, architecture, and other cross-functional teams to define, prioritize, and deliver features.

Skills & Requirements

  • Bachelor's degree in computer science, Information Systems, Engineering, Business, or similar preferred.

  • 5+ years of proven experience in product management, with a focus on platform services, shared/foundational capabilities, or related areas.

  • Solid understanding of platform product management principles: multi-tenancy, API-first design.

  • Experience with one or more of the shared-service domains primarily policy engines, policy-as-code and workflow orchestration systems.

  • Familiarity with security, compliance, and audit requirements for enterprise workflows and approvals (e.g., separation of duties, audit trails).

  • Track record of successfully bringing platform capabilities to market and driving their adoption across multiple product teams.

  • Working knowledge of public cloud computing (e.g., AWS, Azure, Google Cloud Platform) and event-driven, microservices-based architectures.

  • Experience in identity security, PAM, or the broader cybersecurity space is a huge plus.

  • Pragmatic Marketing/Scrum Product Owner certifications are a plus.

  • Excellent written, oral, and presentation skills, and a curious attitude with a desire to collaborate with a team of first-rate engineers, designers, and other Product Managers.

Travel Expectation: Up to 25%
