We are looking to fill the Scheduling Coordinator position as soon as possible. Candidates for this role MUST have background with dispatching, scheduling, or logistics for a service or route-based company.
This role is a critical part of our operations team and directly supports the efficiency of our field technicians, customer experience, and daily business operations. The Scheduling Coordinator will work closely with Operations, Customer Care, and field staff to manage schedules, optimize routes, minimize drive time, and respond quickly to real-time scheduling changes.

Key Job Responsibilities:

  • Manage daily, weekly, and monthly scheduling within the CRM
  • Build, optimize, and adjust technician routes to maximize efficiency and minimize drive time
  • Proactively fill open time slots and reduce gaps in schedules
  • Respond to real-time changes, including technician callouts, while prioritizing pre-scheduled and customer-notified appointments
  • Re-balance workload across technicians as needed to maintain service levels
  • Send service notifications and communicate schedule updates clearly and promptly
  • Provide technicians with clear daily routes, expectations, and support for routing issues or conflicts
  • Collaborate with Customer Care and Operations teams to address scheduling constraints and improve overall efficiency
  • Identify trends and communicate training or process improvement opportunities
  • Capacity planning to align scheduling with business demand
  • Assist with administrative tasks, including task management, memos, and data entry as needed
  • Complete other assigned duties based on business needs, as required.

Requirements:

  • High school diploma or GED equivalent
  • Experience in scheduling or logistics within a route-based service business
  • Strong technical aptitude with the ability to quickly learn new systems (PestPac or similar CRM experience a plus)
  • Proficiency in Microsoft Office (Word, Excel, SharePoint)
  • Familiarity with or willingness to learn local geography and routing logistics
  • High attention to detail, with the ability to identify scheduling conflicts, gaps, and errors
  • Strong communication skills, with the ability to clearly explain schedule changes to team members and customers
  • Proven ability to problem-solve, prioritize, and make real-time decisions in a fast-paced environment
  • Ability to manage competing priorities while maintaining accuracy, professionalism, and a customer-first mindset
  • Collaborative team player with strong relationship-building skills across field and office teams
  • Adaptable and able to remain calm under pressure in a dynamic, ever-changing schedule environment

Preferred Qualifications / Bonus Skills

While not required, the following skills and experiences may increase a candidate’s chances of success in this role:
  • Experience using PestPac, FieldRoutes, GorillaDesk, ServiceTitan, or similar field-service CRMs
  • Previous experience in pest control, HVAC, plumbing, lawn care, or other route-based service industries
  • Strong understanding of dispatching, route optimization, and territory management
  • Experience handling high call volumes and real-time schedule adjustments
  • Advanced skills in Microsoft Excel, Google Sheets, or reporting tools
  • Bilingual communication skills (English/Spanish is a plus)
  • Experience working with remote teams or virtual operations environments
  • Ability to analyze scheduling trends and recommend process improvements
  • Leadership or team coordination experience in operations or logistics environments
